Honorary Secretary – Old Elizabethan Association (Guernsey)

Role Summary
The Honorary Secretary (Hon Sec) plays a central role in the smooth running of the Old Elizabethan Association (OEA), ensuring the effective coordination of events, meetings, communications, and official duties throughout the year. Working closely with the President, Committee, and the Development and Marketing Office at Elizabeth College, the Hon Sec upholds the Association’s traditions while supporting its ongoing development.

Key Responsibilities

Event Coordination

Coordinate the London and Guernsey Dinner including menu selection, venue booking, guest of honour and accommodation arrangements.

Support arrangements for the annual Dinners, including post-event write-ups.

Oversee the scheduling of key Association dates for the coming year (July).

Committee & Governance

Schedule and attend Committee Meetings (typically September, January, March, June).

Organise and attend the AGM (June or July).

Maintain accurate records of meetings and decisions.

Communications & Publications

Contribute Hon Sec’s Jottings and other relevant articles to The Elizabethan magazine (June).

Coordinate with the Development and Marketing Office for printing and distribution schedules and agendas (September, December, June, July).

Provide timely updates to the Committee and membership.

Representation

Represent the OEA at formal occasions, including school and community events.

Build and maintain relationships with alumni, current students, and College staff.

Skills & Attributes

Strong organisational and time-management skills.

Excellent communication and interpersonal abilities.

Attention to detail with the ability to manage multiple commitments across the year.

Familiarity with event planning and meeting administration.

Commitment to the values and traditions of Elizabeth College and the OEA.

Time Commitment

Year-round involvement, with varying activity levels depending on the events calendar.

Evening and weekend attendance for dinners, sporting fixtures, and official functions.

Reports To

The President of the Old Elizabethan Association.

Works With

OEA Committee members.

Development and Marketing Office, Elizabeth College.

Event venues, alumni, and other external partners.

 

Hon Sec – Annual Duty Calendar (Old Elizabethan Association, Guernsey)

August

Confirm Guests of Honour for the following year’s dinners.

September

Committee Meeting.

Coordinate with Development & Marketing Office for The Elizabethan magazine printing.

Agree menu for London Dinner, confirm venue booking, arrange hotel rooms if needed.

October

London Dinner.

December

Support Elizabethan magazine postal distribution (Development & Marketing Office lead).

Book venue for following year’s London Dinner.

January

Committee Meeting.

March

Committee Meeting.

June

Committee Meeting.

AGM (can also be held in July).

Submit Hon Sec’s Jottings and other articles to Development & Marketing Office for The Elizabethan.

July

Guernsey Dinner.

Write up Guernsey Dinner report for The Elizabethan.

Set dates for next year’s meetings, dinners, and events with Development & Marketing Office.
